Dear Parents and Guardians,
As we approach the end of the semester and have the last day of school determined, we want to share our upcoming Final Exam Schedule and attendance expectations to ensure a smooth finish to the school year for all students. Thank you for your grace as we determine a good plan for all.
Wednesday, June 10th: Exams for Hours 1 & 2 (Shortened schedule for Hours 3-6)
Thursday, June 11th: Exams for Hours 3 & 4 (Shortened schedule for Hours 1, 2, 5, & 6)
Friday, June 12th: Exams for Hours 5 & 6 (Half day for students)
Monday, June 15th: Regular attendance (Hours 1-6) and locker cleanouts (Half day for students)
Exam Attendance Policy: Attendance during Final Exam days is mandatory. If a student does not attend and/or take their exam, they will receive a failing grade for that exam.
Planned Absences: If you know in advance that your student will be absent on Wednesday, Thursday, or Friday (due to illness or a scheduled appointment), direct communication from a parent/guardian to the teacher is required to schedule a time to take the exam.
Illness: Exams missed due to excused absences must be made up by appointment outside of regular class time.
The I (incomplete) Grade (Student Handbook) protocols are on a case-by-case basis and teacher regulated.
Thank you for your continued support in helping our students finish the year strong!
Staff,
Here is the breakdown for our upcoming exam week, including the schedule, locker cleanout process, and how we are handling absences and makeup exams.
Exam Schedule & Class Expectations:
Wednesday, June 10th: Exams 1-2 | Shortened hours 3-6
Thursday, June 11th: Exams 3-4 | Shortened hours 1, 2, 5, & 6.
Tip: During your shortened 1st and 2nd hours, use this time to check in on students who missed Wednesday's exams. This quick 30-minute block is a great opportunity to wrap up your class on a positive note!
Friday, June 12th: Exams 5-6 | Half day for staff
Monday, June 15th: All students attend 1st-6th hour
Monday, June 15th Locker Cleanout Schedule (by house):
1st Hour: House D
2nd Hour: House E
3rd Hour: House F
Handling Exam Absences & Makeups (Please Read Carefully): If a student simply skips an exam, they fail the exam. However, we have a specific procedure for excused absences:
Parent Communication is Key: If parents contact you in advance regarding a student who will be gone Wed-Fri, let them know that makeup exams must be scheduled by appointment and will not be taken during regular class time.
Messaging Strategy: Please do not advertise Monday as a blanket makeup day. We want to avoid opening a can of worms. Only advertise the standard process: parents must contact you directly if a student is sick or has an appointment. You have the I Grade option. Please look at the policy in the Student Handbook
Internal Monday Logistics: We will use Monday as a "last chance" makeup day, but this is managed internally. Traci is coordinating the documentation of missed exams in a Google Sheet for teachers to document at the end of exams on Wednesday, Thursday, and Friday. Teachers will email all students who missed exams with their options. Please keep the Google sheet updated with missing exams, so we have the documentation to support the grade if the student makes no attempt to reach out to a teacher.
Friday Call Team: On Friday, our designated call team will reach out directly to the families of students who still need to complete a Final Exam that was missed. Additionally, teachers will send an email to all the parents/students by the end of the day on Friday for missing exams (all calls will be documented in Student Contact).
Monday Testing: Students testing on Monday will do so in the Commons, supervised by Admin and IAs.
Let us know if you have any questions. Let's have a great end to the term!
